General Description: The Mission Support Specialist will provide key management and administrative support to the RSC in areas such as planning, finance and budget, logistics and procurement, human resources, records management, and office automation. This position will handle various budget and planning tasks utilizing government systems, including TRIRIGA, and support administrative functions by applying program policies and procedures.
Organizational Location: Reports to a Regional Section Chief (RSC) within the Program Implementation Branch (PIB), Field Operations Facilities Program Management Office (FOF PMO)
Primary Responsibilities:
Serve as liaison with internal FOF PMO teams and external stakeholders (OFAM, OSF, GSA, OFO, OIT, F&LD).
Perform TRIRIGA data validation, edits, and updates for project management, supporting requirements maturation.
Coordinate electronic Funding Determination Tool (eFDT) submissions for all Project Managers.
Manage and review Consolidated Financial Tool (CFT) submissions related to Planning Out Year (POY), Order of Priority List (OPL), and Bipartisan Infrastructure Law (BIL) requirements.
Maintain and update Strategic Resource Assessment (SRA) tool data, exporting reports, and providing training support.
Lead planning support initiatives for assigned regions and facilitate monthly regional planning meetings.
Oversee data management for OPL, MCACON, opportunity, and requirements.
Track Project Change Requests (CR) submissions, status updates, and approvals.
Provide administrative support, including preparing reports (e.g., emergency contact lists, weekly work tracking), taking meeting minutes, and tracking project reports in TRIRIGA.
Establish and maintain personnel records, procedures, and policies as needed.
Respond to human resources inquiries and support interactions with internal and external stakeholders.
Advise RSC on mission support issues and offer solutions to identified concerns.
Provide administrative support to PIB Project Managers, including lease tracking and managing funding for operational contracts.
Ensure taskings assigned by headquarters are completed accurately and efficiently.
Recommended Skills:
Bachelor’s Degree or equivalent
Minimum of 6 years of relevant experience
Strong communication skills, both written and oral, with the ability to communicate clearly with diverse stakeholders.
Excellent organizational skills with a strong attention to detail.
Ability to navigate government systems such as SharePoint and TRIRIGA.
Ability to interpret management directives and establish administrative processes.
Adaptability to changing resources and requirements.
Strong interpersonal and customer service skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Knowledge of government procurement processes and acquisition procedures.
Familiarity with TRIRIGA and government databases.
Understanding of administrative support functions within a federal environment.
Ability to obtain and maintain a DHS/U.S. Customs and Border Protection Public Trust background investigation clearance.
Recommended Certifications/Training:
TRIRIGA and SharePoint training.
Finance, budget, and procurement training.
General office management training.
